From a call to a work order with a purchase order

Introduction

This article describes an example workflow from reporting a problem like a failure to closing a work order, including processing a purchase order.

The process is illustrated across multiple applications and assumes that your environment already contains data such as employees, assets, items, and suppliers.

  3. Purchase goods (McMain Online)

  4. Receive goods (McMain Online)

  5. Schedule work order (McMain Online)

  6. Material issue (McMain Online)

  7. Execute work order (Digital Technician)

  8. Close work order (McMain Online)


Step 1: Create call (Digital Reporter)

Calls can be created in:

  • Digital Reporter

  • Digital Technician

  • McMain Online

 

In this example, we'll start with a situation where a rearview mirrorthe call is created via Digital Reporter.

Instructions

  1. Log in to the Digital Reporter app (Android / Apple / Browser).

  2. Enter the environment code (visible in McMain Online, top left, starting with MC…).

  3. Choose one of the following options:

    • Scan the QR code of an asset

    • Describe the asset

  4. Enter all relevant call details.

  5. Add media (photo or video, max. 100MB).

  6. Enter reporter details.

  7. Submit the call.

Step 2: Create work order (McMain Online)

Instructions

  1. Log in to McMain Online.

  2. Navigate to:
    Maintenance → Calls
    (or use the top-right icon  to view new calls)

  3. Open the call.

  5. Select:

    • Breakdown (or Work order when less urgent)

  6. Fill in all relevant details.

  7. Assign the work order to the employee that will do the work.

  8. Click Create.

Step 3: Purchase goods (McMain Online)

Instructions

  1. Open the work order.

  2. Go to the Material tab.

  3. Click the orange action button → Purchase order.

  4. Fill in the purchase order details.

  5. Click Create.

  6. Add items:

    • Click action button → Add order row

    • Select item

    • Fill in details

    • Click Add

  7. Repeat adding order rows for all required items.

  8. Activate the purchase order: 

    • Click the Activate purchase order button play_circle_24dp_000000_FILL1_wght400_GRAD0_opsz24


Step 4: Receive goods (McMain Online)

Instructions

  1. Open the purchase order.

  2. Go to the Receipt tab.

  3. Click the orange action button.

  4. Enter:

    • Receipt date

    • Delivery note number

  5. Select received items.

  6. Click Create.

✔ Stock is now updated

Step 5: Schedule work order (McMain Online)

Instructions

  1. Go to:
    Planning → Planboard

  2. See the breakdown work order is already on the planboard in the row of the employee that will do the work on the date that was set on the breakdown work order. 


    (Work orders that are not assigned to an employee, can be searched and dragged from the work backlog on the right side of the planboard to the desired employee and date.)

Step 6: Material issue (McMain Online)

Instructions

  1. Open the work order from the planboard by clicking on it. A dialog will appear.

  2. Open the work order from the dialog by clicking the information icon info_24dp_1F1F1F-3 in the WO Number field in the dialog

  3. Go to the Material tab .

  4. Click the orange action button → Material issue

  5. Enter a description.

  6. Click Next.

  7. Select required item(s) by searching and clicking on the line with the item. The item(s) is/are shown on the right side after selecting.

  8. Verify quantities.

  9. Click Issue. And now the item can be handed over to the employee doing the work on the work order.

Step 7: Execute work order (McMobile)

Instructions

  1. Log in to McMobile.

  2. Search for the work order:

    • Work order number

    • Asset

    • Keyword

  3. Open the work order.

During execution

  • Perform the work

  • Add details such as:

    • Photos

    • Notes

    • Inspection list (whenever applicable)

    • Hours

Complete the work order

  1. Click the top-right action button   and select Complete Work Order

  2. Enter required information

  3. Complete the work order

Step 8: Close work order (McMain Online)

Instructions

  1. In McMain Online navigate to:
    Dashboard  > Work orders completed, not closed 

  2. Select the completed work order. If the list is long and the work order isn't shown, click the 'Show all' button at the bottom in the dialog, which will open the Maintenance > Work orders  
  3. Search if needed for the work order and open it.

  4. Open the work order.

  5. Verify execution details entered by the employee, that did the work like working hours, logbook comments, procedure processing etc..

  6. When the details described by the employee are ok, click the Close lock_96dp_000000_FILL1_wght400_GRAD0_opsz48-1 icon.
